We have created a 10 minute long promo video for an event organized by our club. The video was made by our video production team, MJM media and they gave us the final edited 1080p version of the video yesterday. We want to upload this video on youtube, so that we can use it for online promotions. But the size of this video is so huge that it may take several hours to upload. We would like to convert it to a smaller sized one, but we don’t want to lose the quality of the video a lot. Which software can provide optimal solution? If you can’t name a software, can you tell me the suitable video settings we can use to reduce the size with minimal compromise on quality.

Apparently YouTube re-encodes everything so I'd imagine the higher the quality the uploaded file, the harder it'll be for them to butcher it. Other than that, HandBrake's easy to use. Pick HandBrake's High profile preset, disable the decomb filter, disable cropping and resizing if need be, set a constant frame rate for the output, and pick an RF value. Lower RF values equal larger file sizes and higher quality.
You should find those settings pretty easily. Check under the Audio tab. If Handbrake's decided to duplicate it (which it probably will), it's easy enough to delete one of the audio streams before you start encoding. -
Well a night has passed and by now I am sure this promo is already shining on Youtube with the best possible quality!

But perhaps not, perhaps the poster will inquire, wait for feedback, ponder and then eventually decide on how to convert the video and then finally convert the video. So who knows perhaps in a few days, or next week we can expect a lower quality Youtube promo.
But it is great because the upload time was so much shorter!

Not if they had my DSL internet connection. Aside from my upload speed being extremely slow, the connection has a tendency to "stall" or "drop out" now and then. We're a fair way from the exchange. My download speed is much faster, but the odds of successfully downloading even a 1GB file with a browser aren't good. Most the time the download will progress nicely for a while, then drop to zero, then progress again, then drop to zero..... but it doesn't always recover.

Maybe the OP should define 'huge'
With the right format/codec/bitrate that 10 minute vid at 1080p could be 450 meg. Hardly 'huge' -

Yes, the size was around 450 Meg and it may not be huge for those with high speed internet connection and good upload speeds. But we have a comparatively slower DSL internet connection and that too with a limited bandwidth plan. We have tried to upload videos in youtube in the past and it was not a fast upload.
Anyway, one of our friends offered us to upload the video using his high speed connection and we did it. The upload was quick and we are very happy that we didn't try to reduce the size.
